Job Description

The purposes of this position are: to provide clinic reception, patient appointment scheduling, walk in scheduling for assessments, referral administration/information, registration, medical record and other clerical support services to designated area; and to perform related duties as assigned. Works with patients and visitors of all ages, primarily adults.

To develop and implement staffing schedules using automated scheduling software. To ensure adequate levels are in accordance with established criteria, guidelines, and requirements based on current staff hired to unit. To work with the automated payroll system and serve as resource for the myTime system. To assist Managers to secure replacements for unscheduled staff absences (other than the 24-hour period).

To perform administration support and other related duties as assigned.

MINIMUM QUALIFICATIONS:

Education:
High school diploma or GED with 5 years secretarial or clerical experience in office environment

Experience:
Two (2) years secretarial or clerical experience in medical office environment
Personal or professional exposure/experience with chemical dependency or mental health environment preferred.

Knowledge, Skills

& Abilities:
Previous scheduling experience highly desirable
Exceptional customer service skills (internal and external customers)
Ability to systematically and skillfully respond to telephone calls and customer requests
Ability to give precise attention to details in a distracting environment
Knowledge of modern office procedures, practices and equipment
Ability to communicate clearly and maintain effective working relationships with management, department staff and ancillary personnel.
Ability to be flexible, patient and attentive to details
Ability to maintain confidential information
Ability to organize and maintain accurate electronic and paper filing systems
Knowledge of personal computers and related applications such as Outlook, Word, Excel, PowerPoint
Knowledge of, or ability to learn, myTime software for scheduling and timecard editing
Ability to adapt well to a fast-paced environment and stay calm under pressure
Ability to manage time to meet scheduling deadlines
